Board Director Personnel Data

These records document all human resources related transactions that occur during a director's period of active board involvement. They may include, but may not be limited to, data that is used to determine associate director approval, appointed director nominations, per diem payments, and data used to determine payroll.

Employee Certification, Licensing, Continuing Education and Results Records

These records document the certificates, licenses, and results of tests taken by employees when they complete professional development, continuing education, licensing and/or certification training that is required for employment. Other training records are kept in the employee file. (General Schedule #26.100A)

These records document annual reports prepared at the end of each calendar year to document the amount of withholding tax that was withheld and deposited to the IRS. They may include, but may not be limited to, Form W-3, and a copy of all employee W-2 records.

They may include, but may not be limited to, date of purchase, amount, maturity date, fund name, maturities showing the amount of interest and principal, confirmation notices from banks or brokerages, receipts, balance sheets, requests to invest or withdraw funds, and supporting documentation.

These records document individuals who seek election to the conservation district board in an upcoming election. Signatures must be collected, and the petitions must be submitted at least 60 days prior to the election.

These records document notices to the public that are published by conservation districts in the newspaper of record 45 days prior to the annual meeting and election. They may include, but may not be limited to, dates, times, locations, information about who will be on the election ballot, and agenda items.

Election Ballot Records

These records document the votes submitted by eligible residents of the conservation district during elections. They may include, but may not be limited to, absentee ballots, and in person voted ballots. During the first six months after the election is held all ballots must be sealed. A representative from the Michigan Department of Agriculture and Rural Development may open the sealed envelopes to inspect the election activities.

Voter Registration and Qualification Records

These records document who is registered and eligible to vote in conservation district elections. They may include, but may not be limited to, signed registration forms submitted by residents of the conservation district who are at least 18 years old. During the first six months after the election is held all registrations must be sealed. A representative from the Michigan Department of Agriculture and Rural Development may open the sealed envelopes to inspect the election activities.
